This week I want to talk about something that sneaks up on every business owner—technology creep

You sign up for a tool to solve a problem. Then another one. And before you know it, you're spending thousands a month on subscriptions you forgot about or no longer need. 

👉 When your tech stack is clean, your team moves faster, your margins get healthier, and you can reinvest in what actually grows the business. 


A few weeks ago, I did a full technology audit for my insurance agency and it opened my eyes. I realized: 

  • I was still paying for ClientCircle even though I had already replaced most of its functions with AgencyZoom

  • I had Otter.ai running even though Loom recently released a built-in meeting notes feature that covers my needs. 

So, I canceled both and cut hundreds in monthly spend with zero impact on productivity. 

💡 And it doesn’t matter if you’re a team of 2 or 20—these tools add up fast. 

Here’s the exact template I used to evaluate each tool: 



You can recreate this in Excel, Notion, or even pen and paper. Once you fill it in, I recommend running your list through ChatGPT (or another trusted advisor) and ask: 

  • “Are there any redundancies in my tools?” 

  • “Is there a cheaper or bundled way to do this?” 

🔁 Pro tip: Save your audit doc in the same folder every time so you can track how your stack evolves. 


✅ Action Items 

  1. Create your tech audit list using the table above. 

  2. Review each tool with these questions: 

    Do we use this weekly? 

    Could we consolidate it with something else? 

    Is there a cheaper plan or alternative? 

  3. Run your list by ChatGPT (just copy and paste it in). 

  4. Save your audit in the same folder each quarter (Notion, OneDrive, Dropbox—whatever you use). 

  5. Set a recurring calendar reminderquarterly tech audit, every 3 months.
